Adding Multiple Signatories to Your Contracts

How to add multiple people to a contract, who can see the contract, and how the process of signing works

What is a Signatory

A signatory is a person whose signature is needed on the contract. This can be one or more clients, the studio owner, and/or team members. Anyone on the project can be added to a contract.


Who Can See the Contract

Team members with Edit or Create permissions for contracts can see any contract on the project.

Team members with View permission for contracts can only see contracts to which they have been added as a signatory. Additionally, the contract must be set as Ready for signature in order for view-only team members to see it.

Clients can only see contracts to which they have been added as a signatory. Additionally, the contract must be set as Ready for signature in order for the client to see it.


How to Add Signatories

In a Draft contract, click on the person selector under Signatories in the side panel:

The selector box will open. Everyone on the project will show as options. Click on the names of the people you with to add as a signatory.

After you have added signatories, you will be able to see their initials (or profile images) in the Signatories box, next to the person selector.

When the contract is ready for signatures, toggle the Ready for signature switch to the right:

The contract is now ready for signatures. Notifications will be sent to all signatories on the contract.

IMPORTANT: Once a contract has been set as ready for signatures, everyone who needs to sign the contract will receive a notification.

After the first signature has been added to a contract, you will no longer be able to toggle the contract back to Draft.


Contract Statuses and What They Mean

There are a number of different statuses that a contract can have. Each status gives you important information about the contract.

Draft

A contract with Draft as its status can be edited by team members with edit or higher permissions who are assigned to the project.

Clients cannot see contracts that are drafts.

Ready for Approval

A contract that says Ready for Approval is waiting for your signature. Click into the contract to review and sign it.

Waiting on Others

A contract that says Waiting on Others is a contract that you have signed, but other signatories have not yet signed.

Pending

A contract that is Pending is a contract that does not require your signature but is awaiting others' signatures. Only team members with edit or higher permissions will be able to see contracts in a pending status.

Clients and team members with view permissions will not see contracts to which they have not been added.

No Signatories

A contract with a status of No Signatories is a contract that has been set as Ready for Signatures, but has no signatories added to it. Only team members with edit or higher permissions will be able to see contracts in a pending status.

Clients and team members with view permissions will not see contracts to which they have not been added.

Accepted

A status of Accepted means that everyone who should sign the contract has done so.
