Mapping Product Categories in Mydoma to QuickBooks

In Mydoma Studio, your invoices can include both services and products that you sell. When exporting a paid invoice from your Studio that contains products, you have the ability to control where the income is allocated in QuickBooks. This is achieved by mapping the set product categories in Mydoma to specific income accounts in QuickBooks.

***Note: Please be aware that the product categories in Mydoma Studio are preset and cannot be modified or added to. The available categories are already defined within the system.***

When mapping your product categories to income accounts in QuickBooks, you will need to select from the existing preset categories in Mydoma Studio. This ensures consistency and accuracy in the integration between the two platforms.

If you have specific requirements or need additional categories that are not currently available in Mydoma Studio, we recommend selecting the closest matching category from the preset options. This will help maintain alignment between your products and the corresponding income accounts in QuickBooks.

Additionally, if you need to make changes to the chart of accounts directly in QuickBooks, you have the flexibility to do so. By modifying the income account for a specific item within QuickBooks, that particular item will follow the updated account mapping moving forward.

How to assign an income account to a product category:

*** Please Note: You MUST be logged in as the Account Owner

in order to set this up.***

Here's an example that demonstrates how to map your product categories in Mydoma Studio to income accounts in QuickBooks:

1. Open your QuickBooks Online account in one browser tab and your Mydoma Studio account in another.

  • To locate your income accounts in QuickBooks Online, go to "Bookkeeping" and then "Chart of Accounts." You can also sort them by "type" to group them together.

2. Within Mydoma Studio, click on your logomark (at the top of the left menu) and then navigate to "Studio Settings" and "Accounting."

3. On the accounting page, you'll find a list of all the product categories from Mydoma Studio. Each of these categories can be mapped to an income account in QuickBooks.

4. Click on the field to the right of a product category, and the income accounts with the detail type "Sales of Product Income" from your QuickBooks account will be automatically loaded.

5. Select the income account where you want the products in that category to be allocated.

***Note: When your QuickBooks Online account is connected to Mydoma Studio, all available income accounts in QuickBooks will be displayed by default.***

6. Repeat the process for each category

What happens if I add a new income account in QuickBooks?

The next time you log into your Mydoma Studio account the newly added account(s) will be available in the drop down and the product categories can be mapped to them.

What happens if I change an income account that a product category has been previously mapped to?

Existing Invoices that have been exported to QuickBooks will not be affected by the change. If you want to change those you can do so within QuickBooks by editing the income account for the individual product(s)

Going forward invoices that are exported with newly mapped categories will put product income into the correct account.
